Vendor/Exhibitor/Sponsor Information Meeting
St. Louis Earth Day Festival vendor meeting will be in early April, date, time, and place TBD. It will be held in person and virtually to provide this year’s logistics information, service ware requirements, and answers to all participating vendor, exhibitor, and sponsor questions. Representatives from the Health Department, Fire Marshal’s office may be in attendance to assist you. All booth and deposit fees and agreements must be submitted prior to this meeting.

Our meeting will be held in person and virtually to provide this year’s logistics information, service ware requirements, and answers to all participating vendor, exhibitor, and sponsor questions. Representatives from the Health Department, Fire Marshal’s office, and Garrett Paper may be in attendance to assist you. All booth and deposit fees and agreements must be submitted prior to this meeting.

All those with registered booths, and all those working in your booth, must be familiar with and abide by our event Rules and Regulations. Through the registration process, you will agree to these terms. Infractions may result in expulsion from the event with no refund and/or refusal of registration in future years. The Youth Corner will be returning to the east side of the Muny.
2025 information will be updated in April before the vendor meeting.
We will have a text alert system in place for the Festival starting in April 2025. We will use the cell number from your registration as well as sending an email for others to subscribe. This way we will be able to inform you about any urgent information in a timely manner. Please have all of your booth staff subscribe as well.

Vehicles will not be permitted on the Festival footprint Sunday morning (except food vendors and food trucks).
The Youth Corner will be back on the east side of the Muny.
Festival Load-in Map (2024)
- ALL VENDORS will enter the Festival footprint at the Theatre Drive Check Point for check-in and unloading.

- Some vendors may find it easier to walk in their booth contents from parking on the street outside the footprint. Those in Artisans, Home, and Energy in particular.
- You will receive your parking pass upon checking in – 1 per vendor as space is limited in the Lower Muny lot.
- You can then turn left or right at the Theatre Dr/Pagoda Circle intersection depending on where your booth is located.
- Traffic is ONE-WAY only exiting at Pagoda Circle/Cricket intersection or McKinley Dr/Pagoda Circle.
- While unloading, you MUST display your parking pass with your booth number & phone number filled in, so we may contact you if your vehicle needs to be moved. Your pass will be provided when you check in onsite. No car will be allowed to enter the event footprint on Friday or Saturday without displaying a pass, which you will get when you check in.
- You can also walk in your booth materials from any parking lot.
- NO PARKING within event grounds – 20-minute unloading is permitted only.
- Vendor check-in ends at 8:30 am on Saturday, 4/26, and roads will close at 9:00 am sharp. All vendors and vehicles must be off of the Festival footprint at this time.
- Only food vendors located in the Earth Day Cafe will be allowed to drive a vehicle onto the footprint (enter from Theatre Drive at Lower Muny Lot) Sunday, 4/27 – 8:00-9:00 am to drop off supplies and will then park vehicle in the Lower Muny Lot.
- Vendor parking for setup and during the Festival will be available in the Lower Muny parking lot (1 per vendor), Upper Muny parking lot, and Visitor’s Center parking lots (public parking).
- Food Vendor parking will be in the Lower Muny parking lot.

- Security guards are scheduled each day from Friday night through Monday morning with limited overnight security. We do not recommend leaving valuables/money overnight.
- Refer to your invoice to verify the equipment you reserved (tables, chairs, tent, electricity). Booth listing will also be emailed in early April for you to verify the information is correct.
- You may bring additional tables and chairs, as long as they fit within your booth space. You are responsible for providing table coverings.
- Handicap Parking: Handicap parking is available in the Lower Muny parking lot with a valid DMV tag. Email festival@earthday-365.org if you have issues and do not have a tag.
- Event Hours are 11 am – 5 pm BOTH days.
- Roads are closed within the Festival footprint beginning at 9:00 am on Saturday, 4/26.
- If you did not check in on Friday, 4/25, make sure to check in at the Information Booth located at the intersection of Theater Drive and Pagoda Circle upon your arrival on Saturday, 4/26. This is to let us know you are present.
- All booths must be ready by 10:30 am on Saturday.
- If you have not checked in by 10:15 am, your booth will be considered forfeited and may be reassigned.
- As stated in the Rules & Regulations, all of your vendor/exhibitor activities must be confined to your booth space. For example, you may not roam the grounds with petitions or surveys – this activity must be located adjacent to your booth.
- Booth Volunteers/Employees: For those arriving later in the day, we highly recommend the free shuttle service from Washington University East End parking garage (off of Forest Park Pkwy). For other tips, direct them to the Visitors webpage.
- Make sure your booth volunteers/employees KNOW WHERE TO GO (i.e. your booth location/booth number).
- ROAD OPENS on Sunday, 4/27, when the area is clear of pedestrians and it is determined safe by Security personnel.
- ALL Vendors enter at Theatre Drive for unloading.
- Traffic is ONE WAY from Theatre Drive to Cricket Dr or McKinley Dr exit.
- NO DRIVING ON THE GRASS IS ALLOWED.
- DO NOT leave anything behind. LEAVE NO TRACE. If any weights or debris are left at your booth space, you may be denied participation in future events. This is what the refundable cleaning deposit is for.
- NOTE: The Festival runs through 5 pm and history has demonstrated that many attendees stay until the very end. For vendors and exhibitors who choose to depart early (no earlier than 4 pm), you will NOT be able to bring vehicles into the event footprint. Vendors will need to walk booth items out of the footprint. NO EXCEPTIONS. The Festival ends promptly at 5 pm and cars will be allowed in for pack up as soon as Security clears the attendees from the roads. We encourage all exhibitors and vendors to stay through the duration of the event.

- They will deliver ice Saturday and Sunday at 8:00 am. Cash only, $4 per bag.
